Privacy Policy
Effective date: 7 November 2026
1. Who we are and what this policy covers
The QuantumStream Solutions website at qssolutions.us is operated by QuantumStream Solutions LLC, 854 Broken Sound Pkwy NW, Boca Raton, Florida 33487, United States. In this policy, “we”, “us” and “our” mean that company. We decide how personal information collected through this website is used.
QuantumStream Solutions works in three directions: Enterprise Technology & AI (cloud, identity, PKI, virtual desktops, DevSecOps, AI automation, custom software and integrations, and the Okta2EntraID product), RF & Antenna Engineering, and Creative Studio (video production, content planning and publishing automation). This policy covers:
- visits to our public website, in English and, for the RF section, in Ukrainian;
- enquiries you send through the website’s forms or by email in response to the website.
It does not cover services we provide under a separate contract (for example an enterprise project, an Okta2EntraID licence, RF design work or a video production). Privacy terms for those are set out in the agreement or in information provided with the service. It does not cover a future customer portal or third-party websites linked from ours.
For privacy questions or requests, contact info [at] qssolutions [dot] us.
2. Information we collect
Information you give us. Each direction has its own enquiry form. All forms ask for your name, email address and country, and optionally your company or project. Each form then asks about your request:
- Enterprise Technology & AI: the service you are interested in, your current environment, what you want to accomplish, a target timeframe and an optional supporting link;
- RF & Antenna Engineering: the type of work, antenna type, operating environment, expected quantity, application and operating conditions, technical targets (such as frequency range, gain, VSWR, polarisation, radiation pattern, impedance and connector), size, weight and mounting constraints, existing material, timeframe and an optional link to material;
- Creative Studio: the service you are interested in, your audience, message and goal, available material (such as footage, brand assets or scripts), publication channels, timeframe and an optional supporting link.
Required fields are marked on each form. If you write to us by email, we receive your message, your contact details and any attachments. While a form says that online sending is not available, it sends nothing to us; you can contact us by email instead.
Information about other people. Please send only what your enquiry needs. If you include details about colleagues, clients or people who appear in footage, make sure you are allowed to share them. Do not send passwords, access tokens, production data or your customers’ personal data; for an enterprise project we agree a secure way to handle such access when it is actually needed.
Technical information. When you visit, our website infrastructure receives your IP address and request information, such as the requested page, date and time, browser and operating system, referring page where available, and response or error information. Some of this information is recorded in operational and security logs. The website’s fonts are served from our own website, so loading a page does not send requests to a third-party font service.
Your display preference. If you choose a light or dark theme, the choice is saved in your browser’s local storage under the name “qs-theme”. It stays on your device, is not sent to us and is not used to track you. You can remove it by clearing the website’s data in your browser.
Website analytics. To understand which pages are useful and to improve the website, we run our own analytics service on our own servers in the United States; no third-party analytics provider receives the data. It does not use cookies and does not store or read anything on your device. For each page view it records your IP address, your browser’s user agent (browser, operating system and device type), the page, the referring page where available, and the date and time. We use the IP address to tell visits apart and to derive an approximate location (country and region). Form contents, attachments and email addresses are not sent to analytics. If your browser sends a Do Not Track or Global Privacy Control signal, your visits are not recorded in analytics.
3. How we use information
We use information for these purposes:
- to run and protect the website: deliver pages, diagnose errors, keep the site reliable, and detect and prevent abuse, spam and security incidents;
- to answer your enquiry: understand your requirements, ask follow-up questions, assess feasibility and prepare a proposal or quotation you request;
- to comply with export-control and sanctions laws: for enquiries in every direction, we may screen the names of organisations and people involved against government sanctions and restricted-party lists; before we share technical detail or a quotation for RF work, we also review the destination country, end use, end user and parties described in the enquiry, and ask you for more information where the rules require it;
- to manage our business relationship with you: keep a record of the enquiry and our correspondence so that the right person can follow up;
- to improve the website, using our own cookieless analytics described above;
- to meet legal obligations and establish, exercise or defend legal claims.
We may turn information into aggregated or de-identified statistics that no longer identify anyone, and use those to understand demand for our services.
Sending an enquiry does not subscribe you to marketing messages. If we send you marketing messages where the law allows it, each one will tell you how to stop them. We may use AI tools, run by us or by service providers under contract, to help us read, summarise, translate and answer enquiries and prepare proposals. They work under the same confidentiality and security measures as our other systems. We do not publish your enquiry or the material you share, and we do not use your material, brand or footage in our own examples or promotion without your written permission.
4. Legal bases
Where applicable law (for example the GDPR in the European Economic Area or the UK GDPR) requires a legal basis, we rely on:
- legitimate interests in operating and securing the website, understanding how it is used through our own cookieless analytics, answering business enquiries and managing business relationships, balanced against your rights;
- steps at your request before a contract, where you personally ask us to prepare a proposal;
- consent for any processing where we ask for it;
- legal obligation for processing required by law, such as export-control, sanctions, recordkeeping or tax rules.
Where processing depends on consent, you can withdraw it at any time. Withdrawal stops subsequent processing on that basis; it does not make earlier processing unlawful.
5. Cookies, browser storage and privacy signals
The website does not use cookies. It stores one item in your browser, your display preference (“qs-theme”, in local storage), and only when you choose a light or dark theme. It stays on your device and is not used to track you. Our analytics does not store or read anything on your device.
We honour browser privacy signals. If your browser sends a Do Not Track or Global Privacy Control signal, we do not record your visits in analytics, and we treat the signal as a request to opt out of any sale or sharing of your personal information (which we do not do in any case). You can also block or delete stored site data in your browser settings; the site still works, but it forgets your display preference.
6. Who receives information
We share personal information only as described here:
- Service providers who work for us under contract and receive only what their service needs: website hosting in the United States, security and bot protection, and email and collaboration services. When online sending is connected, each enquiry is recorded as a lead in our customer relationship management system, hosted by us or on our behalf, and our staff are notified through our collaboration and email services. Our analytics runs on our own servers and is not shared with an analytics provider.
- People you ask us to involve, such as a partner or contractor you name for your project.
- Professional advisers and authorities, when necessary for legal obligations (including export-control and sanctions requirements), protecting rights, or resolving a dispute.
- A successor business, if all or part of our business is reorganised, merged or sold. Your information then stays subject to this policy or to an equally protective notice.
We do not sell personal information, we do not share it for targeted (cross-context behavioural) advertising, and we do not allow third parties to track visitors across websites through our website.
7. International transfers
Our company is based in the United States, and our service providers may process information in other countries, which may have data protection laws different from those where you live. The website and our analytics are hosted in the United States. We work with clients in the European Union and elsewhere. Where we transfer personal information from the European Economic Area, the UK or Switzerland, we use the European Commission’s Standard Contractual Clauses (with the UK Addendum or the Swiss amendments where needed) or another mechanism the law permits, such as an adequacy decision.
Where the law requires a transfer mechanism (for example for information from the European Economic Area, the UK or Ukraine), we rely on a mechanism the law permits. You can contact us for information about the safeguards that apply to your information and how to obtain a copy where available. Visiting the website is not treated as consent to an otherwise restricted international transfer.
8. How long we keep information
We keep personal information only as long as needed for its purpose, subject to applicable legal requirements.
| Information | Retention period or criterion |
|---|---|
| Operational and security logs | 13 months |
| Analytics records (including IP address and user agent) | 13 months; after that, only aggregated statistics that do not identify anyone |
| Enquiries, correspondence and material you share | As long as needed to answer the enquiry and manage our business relationship. If no business relationship follows: up to 3 years after our last contact. Proposals, contracts and related correspondence: for the period the law requires for business, tax and accounting records (generally up to 7 years after the relationship ends), or longer where needed for a legal claim |
| Export-control and sanctions screening records | For the periods required by U.S. export-control and sanctions recordkeeping rules: currently 5 years under the Export Administration Regulations and 10 years for records covered by the sanctions regulations of the Office of Foreign Assets Control (OFAC), or longer where another law requires it |
| Privacy choices and records of requests | 3 years after the choice or request |
Information needed for a specific legal obligation or dispute may be retained longer for that purpose. When information is no longer needed, we delete or anonymise it. Deleted information may remain in restricted backups until their normal replacement cycle completes.
9. Your rights and choices
Depending on the law applicable to your information, you may request access to it, correction, deletion, a portable copy, or restriction of processing, and you may object to processing based on legitimate interests. Where processing depends on consent, you may withdraw it. You may also complain to the competent data protection authority, for example in the country where you live or work.
Where applicable US state law provides such rights, you may also ask what categories of personal information we collect and disclose, opt out of the sale or sharing of personal information or its use for targeted advertising, use an authorised agent, and appeal a denied request.
Send requests or appeals to info [at] qssolutions [dot] us. We may ask for information reasonably necessary to verify your identity or an agent’s authority. We respond within the time required by applicable law and explain any refusal or exception and available next steps. We will not unlawfully discriminate against you for exercising a privacy right.
You can stop marketing messages at any time using the link in the message or by contacting us. We still answer your enquiries and send messages you need about them.
10. Security
We use reasonable technical and organisational measures appropriate to the information we handle, to protect it against unauthorised access, use, disclosure, alteration or loss. No internet service can guarantee absolute security.
You can help: share confidential engineering files, export-controlled information, footage or access to your systems only through a channel we agree with you, and never send passwords or access tokens by email or through a form.
11. Children
The website presents professional services to businesses and organisations and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided personal information through the website, contact us and we will delete it.
12. Third-party websites
The website links to other websites, such as pages of technology vendors we mention. This policy does not apply to them. Their own privacy policies explain how they handle your information.
13. Changes to this policy
We update this policy when our practices change and show the effective date above. For material changes we provide additional notice, such as a notice on the website, or obtain consent where required. A policy update alone does not authorise a new use that requires your consent.
